Academics
The students/applicants desiring any of the following certificates are advised to carefully read the below mentioned instructions. 
  • Bonafide Certificate, 
  • Fee Structure, 
  • Tuition fee certificate, 
  • C & S Form for foreign students,  (Dean International Affairs)
  • Original/duplicate Migration Certificate  
  • Provisional Degree Certificate
  • Original/duplicate grade sheet.
  • Original/duplicate final degree certificate. 
  • Medium of Instruction certificate
  • Transcripts
  • Verification of degree etc.  
  • If any other document pertaining to Academic Section. 

  1. Existing students of MNIT are advised to apply for the required document/certificate through their ERP login.
  2. Passed out students/applicants are advised to apply for the required certificate in the prescribed format.
  3. For the convenience of students timings exclusively reserved for students in Academic Section are 12:00 to 01:00 PM and 04:00 PM to 06:00 PM to collect required documents. Hence, they are advised to contact/visit academic section / submit their application during the said time. 
  4. The students may kindly note that for preparing any of the required document(s) excluding transcripts & duplicate documents, in order to avoid delays caused in issuing of certificates the minimum time period required to be given to the academic section for processing the application can be 3 days. Hence, they may kindly apply for certificates in advance, in accordance with this. 
  5. In case a student/applicant is deputing some person for collection of the documents applied for, he/she is required to send “Letter of Authority” available at http://www.mnit.ac.in/academics/format.phpwith the person authorized to collect the documents.
  6. In case a student request for sending the document by post, the Academic Section, MNIT Jaipur, shall not be responsible for loss or damage of documents during transit. 
  7. Students may kindly note that no fee shall be charged for issue of Original grade sheet, medium of instruction certificate, Bonafide Certificate, Fee Structure, Tuition fee certificate, Migration Certificate and Provisional Degree Certificate. However, fee as per the details mentioned in http://www.mnit.ac.in/academics/Notice.php shall be charged for issuance of duplicate grade sheets, duplicate degree, Verification of degree and Transcripts. 
  8. For issuance of Identity Card, Character Certificate and Railway Concession Form, the students are advised to approach the office of Dean, Students Welfare. 
  9. The detailed procedure/guideline regarding issuance of Transcripts, Duplicate documents, Verification Certificate and original certificates is as follows:

(Required for higher studies in foreign Universities)
Request for Transcripts can be made by way of submitting following documents:
  1. Application in the prescribed format (http://mnit.ac.in/academics/Dowload/formats/application_form.doc)  clearly mentioning number of sets of transcripts required.
  2. Requisite fee (notices) (http://mnit.ac.in/cms/uploads/2015/02/transcript_fee.pdf) in the form of cash(at account section) or Demand Draft drawn in favour of Registrar MNIT Jaipur Payable at Jaipur. 
  3. The names and addresses of the Universities for which the transcript is required and if transcripts need to be send directly to the university, the postal charges to be paid in addition to the fee.  
  4. Legible Photocopies (both front & back side) of Final Degree Certificate and Grade Sheet for the number of sets required and one self-attested additional set.
  5. Proof of identify of the applicant.
  6. Envelop –A 4 size. No. of envelopes required is as per the number of the transcripts sets required.
  7. In case the applicant requests to send the documents by post  a Self addressed envelope  and  postal charges  as indicated below are also required to be submitted In the form of cash or DD drawn in favour of Registrar MNIT Jaipur Payable at Jaipur  ;
    • To be posted within India:- Rs. 100 upto  5 sets  & Rs.  200  for 6 - 10 sets
    • To be posted overseas      :- Rs. 1000 upto 5 sets  & Rs.  1500  for 6 -10 sets 
  8. Letter of Authority  in prescribed format in Original along with the ID proof of the person authorized in case the applicant is deputing some person to receive the transcripts on his/her behalf. 

Normal required time for the issue of Transcripts shall be at least 15 days from the date of submission of application. 

Duplicate certificate(s) may be issued to students, if the student

  • loses the certificate 
  • Accidentally damages the certificate beyond recognition and the student produces an affidavit declaring that he/she has accidentally (cause should be mentioned) damaged the original certificate beyond recognition.
  • Accidentally damages the certificate which is still recognizable, but cannot be used as a certificate any more, and sends the damaged certificate to the Institute

In case the student looses the certificate/documents he/she can make a request for the duplicate documents by way of submitting following documents:
  • Application in the prescribed format.
  • Requisite fee (notices) in the form of cash or Demand Draft drawn in favour of Registrar MNIT Jaipur Payable at Jaipur. 
  • Copy of FIR lodged in the police station of the area where the student lost the certificate
  • Affidavit on stamp paper of Rs. 50 to be submitted by the student in the prescribed format [http://mnit.ac.in/academics/format.php].

In case the student accidentally damages the certificate beyond recognition he/she can make a request for the duplicate documents /certificates by way of submitting following documents:
  • Application in the prescribed format.
  • Requisite fee (notices) in the form of cash or Demand Draft drawn in favour of Registrar MNIT Jaipur Payable at Jaipur. 
  • An affidavit of Rs. 50 STAMP PAPER declaring that he/she has accidentally (cause should be mentioned) damaged the original certificate beyond recognition [http://mnit.ac.in/ academics/ format.php].
  • The original damaged certificate to be submitted.

 
In case the student accidentally damages the certificate which is still legible, but cannot be used as a certificate any more, he/she can make a request for the duplicate documents / certificates by way of submitting following documents:

  • Application in the prescribed format.
  • Requisite fee (notices) in the form of cash or Demand Draft drawn in favour of Registrar MNIT Jaipur Payable at Jaipur.
  • The original damaged certificate to be submitted.
  • Affidavit on stamp paper of Rs. 50 to be submitted by the student in the prescribed format [http://mnit.ac.in/academics/format.php].

Note:-
  • Letter of Authority  in prescribed format in Original along with the ID proof of the person authorized in case the applicant is deputing some person to receive the documents on his/her behalf and self-attested photocopy of the documents in respect of which duplicate documents are requested, required to be submitted additionally.
  • Normal required time for the issue of the Duplicate documents shall be at least 15 days from the date of submission of application.

The data pertaining to the pass out students is available at http://www.mnit.ac.in/new/academics/passout.php for the convenience of the stake holders. However in case a student / organization requires a written certificate from the institute certifying that the degree of the student is authentic, then the concerned authorities can make a request for the same by way of submitting the following documents:
  • Application in the prescribed format.
  • Requisite fee (notices) in the form of cash or Demand Draft drawn in favour of Registrar MNIT Jaipur Payable at Jaipur.
  • In case the applicant requests to send the Verification certificate by post  a Self addressed envelope  and  postal charges  as indicated below is also required to be submitted In the form of DD or cash drawn in favour of Registrar MNIT Jaipur Payable at Jaipur  ;
    • To be posted within India:- Rs 100/- 
    • To be posted overseas      :- Rs 800/- 
  • Letter of Authority  in prescribed format in Original along with the ID proof of the person authorized in case the applicant is deputing some person to receive the verification certificate on his/her behalf.

  • Original Grade sheets are issued to all the enrolled students of the institute after the end of each semester or after he/she has appeared in the supplementary examination. The Provisional Degree Certificate is issued to the students on successful completion of their enrolled program. These documents are issued without charging any fee from the student.

    The students are advised to inform the Academic Section regarding any correction in their name, their Father’s / Mother’s name, Student ID etc after the receipt of the first semester Grade Sheet, so that the necessary corrections may be incorporated in the records and he/she may be issued the revised Grade Sheet. 
    However, in case the student does not inform the Academic section as advise to above and request for revised grade sheets after he/she has been issued grade sheet for more than one semester, then the student would be required to pay fee as applicable for the issuance of the duplicate documents, for getting the revised grade sheets. 

  • The Fee for the issuance of Degree Certificate is Rs 250/- (Rs. Two hundred fifty only). The students may kindly note that in case they are unable to come to institute to personally collect their Final degree Certificate:

     They may depute a representative on their behalf for collection of the Certificate  with the ‘Letter of Authority’ and requisite fee in cash or Demand Draft, in favour of Registrar, MNIT, Jaipur payable at Jaipur,

    Or

     They may send a self-Addressed Envelope along with a (a) covering letter, (b) Fee for final degree certificate + Postal charges of Rs 100/- (Rupees Hundred Only) for within India and Rs 1200/- (Rupees eight hundred only) for overseas, in the form of Demand Draft, in favour of Registrar, MNIT, Jaipur payable at Jaipur and (c) recent ID Proof.
  1. A paperless document request processing facility is available for continuing students through ERP.
  2. Existing students are advised to submit their request for any certificate through ERP only.
  3. How To Apply
    1. Login into your ERP student account at mniterp.org
    2. Open the path: My Activities -> Feedback & Requests -> Certificate Requests.
    3. Click on   button (top right corner) to open certificate request form.
    4. Fill the form by selecting type of request/document/certificate and submit.
  4. How to Track Document/Certificate
    1. Your document requests will be labelled with status(s).
    2. You can find list of your certificate requests at following path in your ERP account.
      1. My Activities -> Feedback & Requests -> Certificate Requests.
    3. Certificate Request Status(s) and their meaning are:
      1. Pending: Your request is under process by academic section staff.
      2. Cancelled: Request cancelled due by academic staff after checking eligibility of certificate request submitted by you.
      3. Ready for Pickup: Your document is ready at Academic Section. Students are advised to collect their certificate from 04:00 PM to 06:00 PM.
      4. Issued: Document has been issued by Academic Section to the student.
    4. Staff/Students can track certificates request/issued history on ERP system.
  5. Students may kindly note that no fee shall be charged for issue of Original grade sheet, medium of instruction certificate, Bonafide Certificate, Fee Structure, Tuition fee certificate, Migration Certificate and Provisional Degree Certificate. However, fee as per the details mentioned in http://www.mnit.ac.in/academics/Notice.php shall be charged for issuance of duplicate grade sheets, duplicate degree, Verification of degree and Transcripts.
  6. Students would be debarred from applying for the same document for the next one month, if they do not take their document within 5 days, after the status on ERP has been updated to ‘Ready to pick-up’.
Any students who wish to withdrawn from the current semester, have to follow the given steps:
  1. Write an application to concerned Head of Department, for semester withdrawal.
  2. Your application should be forwarded to academic section by department. After receiving application, Academic Section will proceed for student semester withdrawal.
  3. Fee Refund Policy:

Caution money of students will be refunded only after clearance of no-dues certificate from all respective departments.
A student will be eligible to apply for caution money refund only if:
  1. Passed out from institute
  2. Withdrawn from Institute
  3. Terminated
  4. Cancelled etc.

Student can apply for no-dues certificate through one of the following channel:
Online through ERP
    To apply for no-dues on ERP, follow the steps given below:
  1. Login into your ERP account
  2. Select the path : My Activities->Feedback & Requests->No Dues
  3. In the form select add button, and insert a record.
  4. You can submit no-dues only if your bank account details are updated on ERP.
  5. Note: Only passed out students can login into their ERP account for a period of 60 days from passed out date. Withdrawn and Terminated students are not allowed to login into ERP. No dues for same will be applied by dealing staff of academic section during processing the application.

Caution money amount will be credited into the student account only after clearance of no-dues. Before applying no-dues form student must ensure that bank account number exists on ERP is correct and active.
